Share Your Calendars

Share your calendar events with friends and add calendars that other have shared with you. With Google Calendar, you will be able to:

  • Share your calendar events with your friends, Google Groups, or everyone.
  • Add and view calendars that others have shared with you.

Share Your Calendar with Specific People

Share a Calendar with Specific People

You can share your calendar with specific individuals by doing the following:

  1. In your My Calendar list, click the down-arrow next to a calendar and select Share this Calendar.

  2. Enter the person's Rebelmail e-mail address in the Share with specific people section and select from the following permission settings:
    • Make changes AND manage sharing*: This person has complete control over your calendar.
    • Make changes to events*: This person can add, remove, and modify events in your calendar, but cannot adjust sharing.
    • See all event details: This person can view all the event details, but cannot make any changes.
    • See only free/busy (hide details): This person can see when you are busy or free, but cannot see the details of your events.
  3. Click Add Person.
  4. When you have finished adding all of the individuals, click Save. Your calendar will now appear in his or her calendar list automatically. No action is required on his or her end.

*You cannot grant non-Rebelmail users this level of access to your primary calendar (with your name).

View a Friend's Calendar

If your friend has shared his or her calendar with you, it will automatically appear in your calendar list. No action is required on your part. However, if you friend hasn't shared a calendar with you, you can still view his or her primary calendar's free/busy information by doing the following:

  • Under Other Calendars, enter the person's Rebelmail e-mail address in the Add coworker's calendar field and hit Enter on your keyboard. His or her calendar will be added to your list under Other calendars. Now his or her primary calendar's free/busy information is available for you to view.


Share Your Calendar with a Google Group

Share a Calendar with a Google Group

You can share a calendar with a Google Group that you belong to. All members of that group will have access to view your calendar. The calendar sharing settings will automatically adjust to changes in the Google Group's membership over time. Unlike sharing with individuals, however, a shared calendar will not automatically appear in the group members' calendar list. Instead, you have to provide them with the calendar's ICAL address before they are able to view it. To share your calendars with a Google Group, do the following:

  1. Under My Calendar, click the down-arrow next to a calendar and select Share this Calendar.

  2. Enter the Google Group's e-mail address (e.g., Acc101-group@unlv.nevada.edu) in the Share with specific people box and select from the following level of access (this setting will be apply to all members of the group):
    • Make changes AND manage sharing: Group members have complete control over your calendar.
    • Make changes to events: Group members can add, remove, and modify events in your calendar, but cannot adjust sharing.
    • See all event details: Group members can view all event details, but cannot make any changes.
    • See only free/busy (hide details): Group members can see when you are busy or free, but cannot see the details of your events.
  3. Click Add Person.
  4. Click Save.
  5. Now that you have shared your calendar with the Group, you need to provide your group members with the calendar's Calendar ID before they are able to view it in their calendar. 

  6. Under My Calendar, click the down-arrow next to the calendar and select Calendar settings.
  7. Under the Calendar Address section, there will be a Calendar ID that looks like long e-mail address (e.g., unlv.nevada.edu_rflbf2s15ujbubc@group.calendar.google.com)

  8. Copy the ID and send it to your group members via e-mail or IM. They have to add the calendar via the Calendar ID before they can view it. 

View a Calendar Shared with Your Google Group

Before you can view a calendar that has been shared with your Google Group, make sure of the following:

  • You are a member of that Google Group.
  • You have been provided with the calendar's Calendar ID.  If not, please contact the owner of the calendar.

To add a calendar shared with your Google Group, do the following:

  • Under Other Calendars, enter the Calendar ID you were given in the Add coworker's calendar field and hit Enter on your keyboard. His or her calendar will be added to your list under Other calendars.

Note: If you leave the Google Group, you will lose access to that calendar.

Share Your Calendar with the Public

Make Your Calendar Public

To share your calendar with everybody or just everyone with a Rebelmail account, do the following:

  1. Under My Calendar, click the down-arrow next to the calendar and select Share this Calendar.

  2. Make sure that Share this calendar with others is checked and select from the following options:
    • Make this calendar public: Anyone in the world can view this calendar.
    • Share this calendar with everyone in the organization: Any users with a Rebelmail account can view this calendar.
  3. Now select the level of access from the following:
    • See all event details: People can view the details of all events but cannot make changes to it.
    • See only free/busy (hide details): People can see when you are busy or free, but cannot view the details of your events.
  4. Click Save.

Once you have made your calendar public, others can view your calendar by using its calendar address. You can obtain your calendar's address by doing the following:

  1. Under My Calendar, click the down-arrow next to the calendar and select Calendar settings.
  2. Under Calendar Address, you can share your calendar address in one of the following format:
    • XML: People can add the link to any XML feed reader (e.g., Google Reader, Firefox, Safari, etc.). This is only available if you chose 'Make this calendar public'.
    • ICAL: People can add the link to any calendar applications that supports the iCal format (e.g., Google Calendar, Outlook, iCal, etc.).
    • HTML: People can access the calendar via their web-browser.

View a Public Calendar

Before you can add a public calendar, you must know the calendar's ICAL address. To view a public calendar, do the following:

  1. Under Other calendars, click on the down-arrow and select Add by URL.

  2. Enter the ICAL address and click Add Calendar.  The calendar will now appear under your Other Calendar list.

Restrict Your Calendar's Sharing Settings

Make Your Calendar Private

By default, your primary calendar's (with your name) free/busy information is shared with other Rebelmail users. If you prefer to keep your calendar private, do the following:

  1. Under My Calendar, click the down-arrow next to the calendar and select Share this Calendar.
  2. Uncheck Share this calendar with others.

  3. Under Share with specific people, click on the trash can icon to remove individuals with access to your calendar.

  4. Click Save. Now only you have access to view your calendar.
